<strong>email<\/strong>.\u00a0 This allows you to remove email stored on a <strong>third-party<\/strong> internet <strong>email server<\/strong> and move it to an <strong>archive file<\/strong> stored on your computer.\u00a0 You can perform the archive process manually or automatically.<!--more--><\/p>\n<h2 style=\"text-align: justify;\"><span class=\"ez-toc-section\" id=\"Archive_Email_Before_180_Days_for_Privacy\"><\/span>Archive Email Before 180 Days for Privacy<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p style=\"text-align: justify;\">If you leave your email stored on a third-party internet email server, you risk losing your <strong>privacy<\/strong>.\u00a0 Once email is <strong>180 days<\/strong> old, it is considered &#8220;<strong>abandoned<\/strong>&#8221; under the <strong>Electronic Communications Privacy Act<\/strong> (<strong>ECPA<\/strong>) of 1986 and the <strong>Stored Communications Act<\/strong> (<strong>SCA<\/strong>).\u00a0 It is not protected under the privacy rights of the <strong>4th Amendment<\/strong> of the <strong>Constitution<\/strong>, in the <strong>Bill of Rights<\/strong>, so no <strong>search warrant<\/strong> is required for authorities to obtain the contents of your older email messages from the third party.<\/p>\n<p style=\"text-align: justify;\">However, email messages that you store on your own computer, regardless of age, rather than on a third-party email server, are <strong>protected<\/strong> by <strong>privacy rights<\/strong>, and a <strong>search warrant<\/strong> is required.\u00a0 So, to maintain your <strong>privacy<\/strong>, you should not store email on a third-party email server for more than <strong>180 days<\/strong>.<\/p>\n<h2 style=\"text-align: justify;\"><span class=\"ez-toc-section\" id=\"Set_Up_Auto-Archiving_in_Outlook\"><\/span>Set Up Auto-Archiving in Outlook<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p style=\"text-align: justify;\">You can set up the <strong>auto-archiving<\/strong> feature of <strong>Outlook<\/strong> to automatically move your email from the email server to your own computer before it is <strong>180 days<\/strong> old.\u00a0 You can choose the settings for the age of the email in days, weeks or months, such as 170 days, 25 weeks or 5 months.\u00a0 Your email messages will be stored in a file with an extension of <strong>.PST<\/strong> (<strong>Personal Storage Table<\/strong>), using the file name and directory that you choose.<\/p>\n<p style=\"text-align: justify;\">Your mail <strong>folder names<\/strong> will be maintained in your <strong>archive<\/strong> file.\u00a0 The email archive file and folders can be displayed and accessed in Outlook.\u00a0 You can keep recent email messages, less than <strong>180 days<\/strong> old <strong>online<\/strong>, and move messages that are older than 180 days to your <strong>archive<\/strong> file.\u00a0 Messages stored in your <strong>archive<\/strong> file are <strong>private<\/strong>\u00a0and are only available on your computer.\u00a0 Messages stored <strong>online<\/strong>\u00a0can be accessed from any computer or mobile device, using your <strong>user name<\/strong> and <strong>password<\/strong> to log in to your email account.<\/p>\n<h2 style=\"text-align: justify;\"><span class=\"ez-toc-section\" id=\"Creating_Multiple_Email_Archive_Files\"><\/span>Creating Multiple Email Archive Files<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p style=\"text-align: justify;\">If you have many months or years of stored email messages, you may need a lot of storage space on your computer to store your email <strong>archive<\/strong> file.\u00a0 It may grow to many GB in size.<\/p>\n<p style=\"text-align: justify;\">You can create multiple email archive files, rather than using one large archive file.\u00a0 One method is to create an archive file for each calendar year, such as archive2015.pst, archive2014.pst, archive2013.pst, etc.\u00a0 You can store old archive files for record-keeping on a removable <strong>USB<\/strong> <strong>flash drive<\/strong> or <strong>micro SD memory card<\/strong> in a <strong>fireproof safe<\/strong>.<\/p>\n<p style=\"text-align: justify;\">For more information on breaking a large email archive file justify;\"><strong>Outlook<\/strong> will look at the <strong>date sent<\/strong>, <strong>date received<\/strong> and <strong>date modified<\/strong> for each email, and use the <strong>most recent date<\/strong> for time calculations.\u00a0 If the email was modified after it was sent or received, the <strong>date modified<\/strong> will affect your email archiving, and you may get unexpected results.\u00a0 Old emails might not be moved to the archive file.<\/p>\n<p style=\"text-align: justify;\">You can add or modify a <strong>key<\/strong> in your <strong>registry<\/strong> file to tell Outlook to ignore the email <strong>modification date<\/strong>\u00a0so that it will only look at the date sent or date received when archiving.\u00a0 This procedure is described by
