entries.\u00a0 Follow state laws and notary <strong>best practices<\/strong>.<\/p>\n<p style=\"text-align: justify;\">Ask for a <strong>written request<\/strong>, including the name of the signer, the type of document and the month and year of the notarization.\u00a0 <strong>Always be present<\/strong> during a notary journal inspection and do not give control of your journal to another person.<!--more--><\/p>\n<p style=\"text-align: justify;\">During a notary journal inspection or when making a copy of a notary journal entry, cover any <strong>unrelated entries<\/strong>.\u00a0 Do not allow another person to flip thru or browse the pages of a notary journal.<\/p>\n<p style=\"text-align: justify;\">You may make a <strong>certified<\/strong> <strong>copy<\/strong> of the requested journal entry or you may extract the information and use it to create a <strong>certificate<\/strong> of notary records, signed by the notary.<\/p>\n<p style=\"text-align: justify;\">You may charge a <strong>nominal fee<\/strong> for the notary journal inspection, certified copy or record certificate.<\/p>\n<h2 style=\"text-align: justify;\"><span class=\"ez-toc-section\" id=\"Law_Enforcement_Request\"><\/span>Law Enforcement Request<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p style=\"text-align: justify;\">If the request is from <strong>law enforcement<\/strong>, follow the same procedure.\u00a0 Do not give your notary journal to anyone, unless there is a <strong>court order<\/strong>.\u00a0 Ask if it is sufficient to make a copy of the <strong>specific entry<\/strong>, rather than releasing the entire journal.<\/p>\n<p style=\"text-align: justify;\">The <strong>Secretary of State<\/strong> recommends that notaries take a <strong>thumbprint<\/strong> of the signer and any witness, along with the signature.\u00a0 This may be useful <strong>evidence<\/strong> for law enforcement if the transaction is involved in any criminal <strong>fraud<\/strong> investigation.\u00a0 You may also wish to record the <strong>phone numbers<\/strong> of the signers, in case you need to contact them.<\/p>\n<p style=\"text-align: justify;\">Before you release the original journal under <strong>court order<\/strong>, scan the pages to make a <strong>backup copy<\/strong> of your journal.\u00a0 Make sure you get the original journal back.\u00a0 You need to turn in your journal to the Secretary of State at the end of your notary career.<\/p>\n<h2 style=\"text-align: justify;\"><span class=\"ez-toc-section\" id=\"Electronic_Notary_Journal\"><\/span>Electronic Notary Journal<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p style=\"text-align: justify;\">Be careful if using an <strong>electronic notary journal<\/strong> or <strong>cloud storage<\/strong> due to the <strong>privacy<\/strong> and <strong>security<\/strong> risks of data theft or snooping from an <strong>unauthorized party<\/strong>.\u00a0 If cloud storage is used, the data must use <strong>encryption<\/strong> before transmission to the cloud, the cloud storage provider must store the data in <strong>encrypted form<\/strong>, not <strong>plain text<\/strong> form, and they must not have the <strong>encryption key<\/strong>. \u00a0<strong>Filen<\/strong> offers private, encrypted cloud storage, using servers
